Open Forum
  • Tony McSorley inquired about the excavation work in front of 7045 Leestone Street. According to Judy Currier, the excavation has resulted from repair work to a broken water main. Al Sanford to contact the resident for further information.

Minutes

  • December minutes approved as written.

President's Report

  • Leona reported that there are three residents who have delinquent accounts that are with the attorney.
  • The status of our reserve study is that we have the next six months to make changes to the study and then it will be issued. Judy Currier has been helping to review the reserve study.
  • Leona went over the Board duties for January and February. The highlights were:
    1. Virginia Annual Report is due January 31, 2003.
    2. Responsibilities for the organization of the Annual Meeting need to be made.
    • Chris Taylor to reserve room for meeting with Phillips School
    • Chris Taylor to prepare a flyer
    • Leona to prepare homeowner notice that needs to be mailed to each owner.
    • Leona to submit newsletter article.
    • Leona to contact Barbara about helping out on food.

  • Board approved proposal from the same firm that did the last audit. Based on knowledge of fees charged by other firms in the area for audits, the fee charged by the current firm is low. The fee had only gone up $50.00 since last year and was constant for a few years prior to that.

Vice President

  • No Report

Secretary

  • No Report

Treasurer's Report

  • Questions raised about the amount of the bill for the removal of snow in December. The bill at $1640.00 seemed higher than usual. Al to talk with contractor about this. One of main questions was the three-hour bill for plowing on the second day.
  • Question raised about the landscaping bill for January; statement higher than per contract. Al to inquire.
  • Mohammed submitted preliminary year-end financial statements. Variances between actual and budgeted income and expenditures were discussed.
  • Auditor has requested additional information to complete the 2001 audit. Treasurer to provide additional information.

Architectural Review Committee

  • The status of architectural violations at a hearing stage or penalty stage were not reviewed, as ARC chairperson was not present.

G & M

  • Regarding the sidewalk replacement plans, Ron is checking on Brian Pastoric's references. Brian came in with the lowest bid. Tenative plans are to do sidewalk work in the early spring.
  • Pam Stover to be contacted on her efforts to have pavement work done for individual homeowners. This effort needs to be coordinated with Leewood work.
  • The poor performance of AAA Trash in not picking up recycled items on Janurary 2nd was reviewed. Of greater concern was the poor response of AAA to residents and Board members who tried to resolve the problem. Ron to look into getting a refund for the missed pick up.

Website

  • Judy Currier called attention to a second article on the website about home kitchen improvements.

Newsletter

  • Leona to write an article reminding residents of the annual meeting.
  • Leona to put in article on reserved space painting on curbs.
  • Judy Currier agreed to write an article regarding the proposed plans for Grandberry Estates.

Parking & Traffic

  • Judy Currier presented a written report giving her investigation of the standards for stop signs. New signs are 30" in diameter. The bottom of the sign is on average about 7 feet from the ground. See attached written report.
  • The importance of getting a final report on the work of the parking and traffic committee was discussed. Request will be made to have report and recommendations presented at next meeting.

Nominating Committee

  • Board asked for suggestions of names of persons in the community that might be asked to run for the Board. Judy Currier agreed to serve on the committee.
