February 12, 2002 Board Meeting

Minutes

Present:

Leona Taylor, President
Ron Filadelfo, Vice President
Mohammed Umar, Treasurer
Al Sanford, Secretary

Open Forum

  • No homeowners present

Approval of Minutes

  • Minutes from last meeting
    • Minutes approved subject to correction of typo in date at the bottom (2002, not 2001)

President’s Report

  • President to prepare notice, sign-in sheet, ballots, committee sign-up sheets, and handouts on budget and reserves, for the upcoming annual meeting
  • Board will (in the near future) have to vote on designating excess funds for capital improvements. Will wait for financial statements to be completed.
  • At the annual meeting. President will talk about reserves
  • Homeowners Accounts
    • President sent out 54 letters for past-due accounts, two of which were overdue by more than 2 quarters.
  • ARC penalty accounts with the attorney:
    • We won judgment against 5288 Bradgen Court for $900
    • Regarding 7058 Leestone, we went to court and the judge said we need an expert witness. Board decided to re-file the case
  • President almost finished putting together the directory
  • Four RFP’s for the reserve study have gone out
  • Emmanuel Bible Church has informed us that they have filed for permits to do some construction. It doesn’t appear that we will be impacted.

Vice President’s Report

  • Fence behind Bradgen was measured and assessed; needed repairs will be included with the upcoming community fence work

Treasurer’s Report

  • Treasurer tasked to get financial reports to Judy for placement on web site
  • Treasurer tasked to prepare copies of budget and be prepared to discuss budget at annual meeting
  • Year-end financial report has gone to President. President recommended a few changes before it goes to our auditors.

Secretary’s Report

  • Nothing to report

ARC Report – e-mail received from Pam

    • Notices need to go to 7083 Leestone, informing the homeowners about penalties that have been assessed
    • Pam to send out notice to homeowner whose car is leaking oil
      • Vice President to call this person

Grounds and Maintenance

    • Major fence repair work to be done Feb 18, weather permitting.
    • Pot hole has been reported on Leebrad Street, near the exit to Backlick Road; Al Sanford to look into getting it fixed.
    • Al spoke with trash contractor about early AM pickup, and they agreed to pick up our recycling earlier in the morning.

  • Leona to provide article on audit report
  • Vice President to submit article about upcoming annual meeting

Parking

  • Complaint received about a van that doesn’t move on Leebrad Street
    • Al to put a notice on it

Annual Meeting Preparation

  • Phillips School, multipurpose room, Tuesday March 12
    • Social 7 PM; business meeting at 8 PM
  • Al to call the school and ensure that we have 75 chairs
  • Ron and Al to show up at 6:40 to set up chairs, place signs, etc.
  • Leona to prepare signs directing people to multipurpose room
  • Ron to call Becky Taylor and ask her if she would handle check-in and counting of votes
  • Leona to review major actions of the past year and general financial state
  • Ron F. to purchase gift certificates for door prizes
    • Duck Chang: two $25 certificates
    • Sorak Garden: two $25 certificates
    • Mike’s American Grill: two $25 certificates
  • Al to purchase a $25 Fuddrucker’s certificate
  • Ron F and Al to send out notices for annual meeting
