MONTHLY BOARD MEETING MINUTES

JANUARY 9, 2018

 

The meeting convened at 7:35 PM

Board members present:  Patricia Willingham, Dayna Roy, Leona Taylor, Nathan Parsons-Schwarz

Approval of past minutes:  Minutes from the November 2017 were deferred pending edits.

Open Forum: No homeowners present.

Officers Reports/updates:

1.  President – The watch light in the common area between Leestone Court and Backlick Road has been fixed.  We need to check to see if the light in common area off Bradwood Court is fixed as well.

 

2.  Vice President – No volunteers for the nominating committee, Nathan will address the association members at the annual meeting.

3.  Secretary – N/A

4. Treasurer – Fifteen assessments past due letters were mailed out to homeowners –those that owed amounts before the January 1 assessment.  The account previously approved by the Board to go to the attorney was sent to the attorney, as the owner did not pay in response to the final demand letter.  Annual meeting notice process needs to begin; Leona will prepare the year-end financial statements for the notice packet.

 

5.  At-Large-Member  -  no presentation

 

     Financial report – No report given as not all monthly information received; the financials will be posted on the website when complete.  The credit from American Trash Disposal was received.  To date the Association has not received a penalty on our taxes.

    Old Business – There has been no contact (email, letters or phone calls) with the Mills Family or their attorney regarding their drainage project.

 

*   Committee Reports:

       ARC – No update provided

 

      G & M  - Professional Grounds has been plowing and applying sand to our roads.

 

*   New Business –

Management RFP: Five questions were developed to be consistent in querying for references on the management companies.   Assignments for getting references were made.  Leona will work on comparing the financial effects of the various proposals and summarizing the services each company proposes to provide.   

 

Our Member at Large spoke with a representative of the River Creek Association.  It was reported that River Creek  replaced Jeffery Charles with another management company.

 

Trash: A call will be placed to American Trash Disposal regarding the stove that has been sitting on Bradgen Court for several weeks.  The offending homeowner will be sent the bill for reimbursement to the Association.

 

Newsletter:  The Board discussed the status of the 4th quarter newsletter and plans to get it published.
