Board Meeting Minutes

October 26, 2016

Board Members Present:

President: Patricia Willingham

Vice President: Janet Rourke

Treasurer: Leona Taylor

Secretary: Heather Pike

Convening: The board meeting was called to order at 7 pm at 7026 Leebrad Street, Springfield, VA 22151.

2017 Budget:

· Started by line items starting with contribution to reserve and ending at the website.

· Dayna proposed the ARC software to the board to add the cost into the budget. Board members asked questions concerning the capabilities of the software.

· Leona discussed management company estimate proposals. Leona mentioned if we were to go with a management company that our assessment would need to be increased to compensate for the cost.

· The board agreed to do more research on management companies.

· The board motioned and approved the reserve study to be done this year.

· Janet discussed how the Capital One investments were reinvested.

Homeowner Project:

The board discussed the recommendations provided by the attorney concerning the project. The board also talked about all the steps and documentation that will be needed to get the work done. Pat will draft a letter with the board’s findings; send it out to the homeowner after board approval via email.

Entrance Bed:

Janet wants to do some research on the plants proposed for the entrance bed. The board discussed the plantings we currently have and the new ones Professional Grounds wants to add to the bed.

Grounds and Maintenance:

· Leona moved to approve the Professional Grounds contract. The board passed the contract.

· Snow Contract was ratified by the board’s approval.

New Business:

· Finalize the budget
