Annual Meeting Minutes

May 12, 2015

Board Members Present:

Patricia Willingham- President

Janet Rourke- Vice President

Dayna Roy- Treasurer

Heather Pike- Secretary

Haroon Malik- At-Large

 

Convening: The meeting was called to order at 7:35 pm at the Phillip School, 7010 Braddock Road, Annandale, VA 22003.


Approval of past minutes: April minutes were approved

Open Forum:

Officer Reports

President- Pat presented some homeowner concerns. She discussed homeowners with paver walls that may be encroaching in the common area. Board discussed a Judy Currier memorial plaque suggested by Al. We are going to paint the speed bumps when we paint the parking lines. The board gave Al permission to reach out to Fairfax county to investigate storm drain issues in Leewood. Pat discussed the street cleaning. They are doing it on Friday. They will start at 7 am. Pat will put signs up telling the community. Pat discussed concerns with kids climbing trees and board members approaching them and/or the parents.

Vice President
- Janet asked Pat about the car that was towed. Maybe we should put in the next newsletter to notify the board if a homeowner will be gone longer than 10 days. Discussed houses, garbage and sending a letter. Perhaps a template letter can be sent to all board members so we can all take care of trash issues.

Secretary- Heather said tree in front of the sign needs to go. She suggested the newsletter should go digital and hand delivering hard copies to people that want them. Dayna will get a quote for new message boards. Heather updated the board about the homeowner and the fence. She said she would plant bushes and the board suggested prickly holly.

Treasurer –The board was briefed on the assessment spreadsheet. The board agreed to send two delinquent accounts to the attorney. Pat will get with Janet about an attorney letter and delinquent assessments.

Financial Report:

Leona discussed two Capital One CD’s, obtained signatures and asked about the bank (new members added). To keep records current, board members had to filled out Scwabb account information..

 

 

Committee Reports:
GM: Al discussed the trees in the woods at the corner of Leestone St and Bradgen. He has 2 estimates from Professional Grounds and Care of Trees. Al will send Pat the quotes and we will vote via email. He discussed a dead cherry tree at the end of Bradgen and a bush on Braddock. Al wants to buy pin flags so he can mark areas for Professional Grounds. Bushes are not getting trimmed as well. Pat suggested for Al to send an email to Professional Grounds with her attached.

ARC: Heard from attorney about self help house. Dayna got 3 estimates. It was suggested to only do the 2 sides. The homeowner will be notified of when the fence will be worked on. The fencing company will bill the homeowner and the board will take over if needed. No soliciting in the neighborhood and a sign will come down off a homeowner’s door. In the past, companies have been called regarding soliciting in our neighborhood. Dayna discussed slow down signs to post strategically in our community.
